A vacancy has arisen for a Reception and Administration Assistant to join us at AFC Bournemouth.

Title: Reception & Administration Assistant (part-time)      
Reports to: Human Resources Manager
Location: Vitality Stadium
Hours: Monday–Friday, 1.30pm–5.30pm (20 hours per week)

About AFC Bournemouth

AFC Bournemouth is a family and community club. We strive to deliver a professional, friendly and welcoming approach in all areas of the club. With a small backroom operation, you will be joining a tight knit group who pride themselves on hard work, passion and togetherness.

Main Duties

  • Answering and redirecting where required incoming calls within good industry standard measures.
  • Answering and/or redirecting enquiry emails within a set time-frame and incorporating club and best practice guidelines
  • Processing of incoming and outgoing post
  • Dealing with deliveries and ensuring their timely collection
  • Ensuring the reception area is well presented at all times
  • Ensuring as far as possible the security of the building and ensuring all visitors are recorded and issued with a visitor’s pass
  • Provide matchday support to Operations Director to include:
    • Responsibility for dealing with general email enquiries on own initiative
    • Junior cherries and other matchday communication co-ordination
    • Mascots match-by-match plus fans’ champion. To include liaising with relevant departments in the planning and implementation stages
    • Manage club information around visiting and home supporters to ensure it is dynamic and informative.
    • Liaise with other clubs to provide information to assist their travelling fans as well as our own shirt initiative.
    • Matchday preparation including staff wrist bands, bag tags and access stickers to club lounge
    • Assistance with matchday initiatives as and when required.
  • Research and benchmarking as required from time to time.
  • Management of various club inboxes such as Enquiries, Reception, Junior Cherries and Individual.
  • Cherry Bear’s appearances/ diary management/ general queries
  • 3G pitch schedule
  • Ad hoc duties or support as and when required.
  • As a member of staff to ensure that you to adhere to the club’s safeguarding policies and procedures and are committed to our safeguarding values, creating a safe and positive environment for all those who interact with the club.
  • Obligation to adhere to the club’s health and safety policy and procedures.
  • As a member of staff to ensure in all matters you follow and actively promote the club’s equality policies and practices to ensure a welcoming, safe and inclusive environment for everyone engaged with the club.

Key Competencies

  • Excellent organisation and time management skills.
  • Professional, welcoming and discreet attitude with excellent verbal and written communication skills.
  • Ability to work effectively under own initiative and to anticipate and prioritise different workloads.
  • Ability to communicate concisely, assertively and effectively with visitors and at all levels of the organisation.
  • Ability to work under pressure and adapt quickly.
  • Excellent IT skills. 
  • Previous experience in a similar role would be preferred.
